COVID-19 Notice for Knowledge Rooms and Living Room

The Elson S. Floyd Cultural Center will adhere to federal, state, and local government and department of health policies regarding events, meetings, and other gatherings. We may be limited in the capacity and/or types of set ups that can be allowed for each space. We understand that policies for gatherings may change drastically between now and your reservation date. At a later date if it is determined that your event would not be possible, you may cancel your reservation without penalty.

  • 30-Day Notice

    Depending on size and complexity of the event, online event reservations must be made at least 30 days in advance. Various event and facility staff need to be scheduled to accommodate each event and adequate time is needed for event organizers to meet with event schedulers to finalize details.

  • Cancellation

    Cancellation within 60 days of the reservation will result in a 25 percent cancellation fee; labor charges will be applied if staff already set up for the event.  There will be no cancellation fee if a reservation is cancelled in less than 3 business days after the reservation was initially made.

  • Access to Reserved Spaces

    Patrons may access their reserved space only during the "Pre-Event," "Event," and "Post-Event" times as indicated on the reservation form. All guests and non-Cultural Center property must exit the reserved space by the appointed time.

  • Audio/Visual & Event Equipment

    Basic audio/visual equipment, tables/chairs, and setup/takedown labor are included in venue prices for Elson S. Floyd Cultural Center event spaces. Additional audio/visual needs can be discussed with the event scheduler during an event planning meetings. Elson S. Floyd Cultural Center does not rent equipment for outside use.

  • Food Service

    Catering and Commercial Kitchen Support

    University Catering will provide professional staff for the Cultural Center Commercial Kitchen. The kitchen will have associated costs charged to the group based upon use. These charges are intended only to recover direct costs. 

    Potlucks/Pre-prepared food

    Food that is prepared off-site and brought in by individuals for a private, potluck type event will not require any additional approval beyond standard request review. If the potluck is taking place outside of knowledge rooms, a $25 cleaning fee will apply.

  • Decorations

    All decorations must be approved by and coordinated with specific permission from Elson S. Floyd Cultural Center administration. Small glitter and glow sticks are prohibited.

  • Storage

    Storage space for event-related materials is not available in the Elson S. Floyd Cultural Center.
